Xenfloo

The complete B2B SaaS for agricultural exporters.

One platform from the first buyer enquiry to the day the money lands. Procurement, quality, packing, export documentation, customs, shipping and realisation — connected, auditable and finally in one place.

The problem

An export shipment touches eleven systems. None of them talk.

Enquiries in email. Costing in a spreadsheet. Procurement on the phone. Quality on paper. Documents in a shared drive with four versions of the same invoice. By the time something goes wrong, nobody can reconstruct why.

Margin leaks after the quote

Freight revisions, quality rejections and demurrage land after costing is locked, so the realised margin never matches the sheet.

Documents are the bottleneck

A missing phytosanitary certificate or a mismatched invoice can hold a container at port for days, and it is always found late.

No traceable lot history

When a buyer raises a claim you need the intake batch, the QC result and the packing list in one thread — not three people's memories.

The platform

Every stage of the export cycle, in one system of record

From enquiry to a costed, defensible quotation

Capture buyer enquiries from any channel, build the costing with live freight, duty and packing inputs, and send a proforma that already knows your floor price.

  • Buyer and enquiry pipeline with owner and stage
  • Costing sheets with FOB, CFR, CIF and landed-cost variants
  • Version-controlled proforma and sales contracts
  • Margin guardrails and approval thresholds
Module

Procurement that ties every kilo to a lot

Raise purchase orders against a confirmed sale, record farm-gate or mandi intake with weights and moisture, and keep the paper trail attached to the lot rather than to a person.

  • Supplier and farmer master with rate history
  • Intake weighment, moisture and deduction capture
  • Lot codes carried through to the container
  • Advance, balance and commission tracking
Module

Procurement & intake

Replaces: the weighbridge register, the supplier ledger and the WhatsApp rate confirmations.

Quality results and packing lists that agree with each other

Run your QC parameters against each lot, block what fails, and let the packing list build itself from what was actually approved and loaded.

  • Configurable QC templates per commodity and buyer spec
  • Photo and lab-report attachments on the lot record
  • Grading, cleaning and process yield tracking
  • Auto-generated packing list, weight and marks
Module

Quality & packing

Replaces: the QC notebook, the loose photographs and the manually typed packing list.

Auto
packing list generation

The document set, generated once and consistent everywhere

Commercial invoice, packing list, certificate of origin, phytosanitary application, insurance and the buyer’s own annexures — built from the same shipment record, so the numbers cannot drift apart.

  • Template library per buyer, country and commodity
  • Phytosanitary, CoO and inspection workflow with status
  • Shipping bill and customs data hand-off to your CHA
  • Complete document version history and audit trail
Module

Export documentation

Replaces: the documents folder, the four invoice versions and the frantic call to the CHA.

Container to bank realisation, on one timeline

Booking, stuffing, sailing, bill of lading, buyer despatch, payment terms and realisation status — plus the actual landed margin against what you quoted three months earlier.

  • Booking, container and vessel milestone tracking
  • Bill of lading and despatch document pack to the buyer
  • Payment terms, LC milestones and realisation status
  • Quoted vs. realised margin per shipment
Module

Logistics & realisation

Replaces: the shipment tracker sheet and the month-end reconciliation nobody enjoys.

Traceability

Follow one kilo from the farm gate to the buyer’s claim

Every lot carries its intake weighment, moisture, QC result, process yield, packing batch and container number. When a buyer raises a query, you answer it from one screen instead of three departments.

  • Lot genealogy across cleaning, grading and blending
  • Evidence pack exportable for buyer or auditor
  • Residue and certification records attached to the lot

Farm intake

Weighment, moisture, deductions and supplier rate captured on arrival.

Process & QC

Yield recorded per stage; failed parameters block the lot from allocation.

Pack & stuff

Cartons, marks and container mapped back to the originating lots.

Buyer claim

The full history, exportable as a single evidence pack.

Control

Built for a team where everyone touches the same shipment

Sales, procurement, quality, documentation, logistics and finance each get the view they need — with permissions, approvals and an activity log that makes ownership obvious.

  • Role-based access down to the field level
  • Approval chains for costing, dispatch and document release
  • Immutable activity log on every record
  • Multi-entity, multi-currency and multi-commodity ready

Permissions

Field-level control, not just page-level.

Dashboards

Pipeline, yield, margin and ageing.

Templates

Per buyer, country and commodity.

APIs

Hooks into ERP, Tally and your CHA.

Questions we get

Before you book the demo

Xenfloo is commodity-agnostic. Spices, pulses, rice, fresh produce, oil seeds, processed foods and non-food agri lines all work — QC parameters, units, process stages and document templates are configured per commodity rather than hard-coded.

No. Most customers start with documentation and shipment tracking, because that is where the pain is loudest, then bring procurement and QC in over the following quarter. The modules are designed to be adopted in sequence.

Yes. Xenfloo exposes a documented API and ships integrations for common accounting and ERP stacks, including Tally. Where an integration does not exist we build it as part of onboarding rather than asking you to re-key data.

In a dedicated instance in the region you choose, with role-based access, encryption in transit and at rest, and daily backups. If your buyers or auditors require data residency in a specific country, we can deploy accordingly.

A short workflow-mapping session, a configured sandbox with your own masters and templates, training for each role, then a parallel run on live shipments before you switch over. We stay hands-on through the first full export cycle.

Thirty minutes with an engineer who has shipped this before — not a sales call. You leave with a scoped approach, a rough timeline and an honest answer on whether we’re the right team for it.
